Job Description
NorthStar Memorial Group is seeking a compassionate, detail\-oriented **Clerical \& Administrative Specialist** to join our team at **Skylawn Funeral Home in San Mateo, CA.** This essential role supports daily operations and helps ensure a seamless, respectful experience for the families we serve.
Our administrative team plays a critical role throughout every stage of the client family journey \- from the first call to final arrangements. We are the foundation of support for both client families and our internal team, delivering accuracy, efficiency, and care in every interaction.
**Key Responsibilities**
* Manage a high volume of incoming phone calls with professionalism, empathy, and efficiency
* Schedule appointments and coordinate services for families and staff
* Maintain and organize master files, including scanning, tracking, duplicating, and updating records in HMIS
* Review and verify invoices for accuracy and proper coding prior to submission to Accounts Payable
* Order and manage administrative materials such as brochures, business cards, name badges, and training supplies
* Provide general administrative support to the funeral home team to ensure smooth daily operations
* Work independently while meeting deadlines in a fast\-paced, service\-driven environment
**Qualifications**
* 1\+ years of administrative or clerical support experience
* Strong computer proficiency, including Microsoft Office (Word, Excel) and ability to learn new systems (experience with HMIS a plus)
* Excellent organizational skills and attention to detail
* Ability to multitask, prioritize, and adapt in a deadline\-driven environment
* Strong verbal and written communication skills
* Ability to work both independently and collaboratively within a team
* Valid driver’s license
* High School Diploma or equivalent
