Job Description
**Overview**
We are seeking a dynamic and highly organized Office Manager to lead the daily operations of our busy office environment. This vital role ensures smooth administrative workflows, maintains a welcoming front desk presence, and supports the overall efficiency of our team. The ideal candidate will be proactive, detail\-oriented, and possess excellent communication skills, with a passion for creating an organized and productive workplace. Bilingual abilities are a plus to enhance communication with diverse clients and staff.
**Duties**
* Oversee daily office operations, including managing supplies, equipment, and facilities to ensure optimal functioning
* Manage multi\-line phone systems, answer calls promptly, and route messages accurately
* Maintain organized filing systems, data entry records, and ensure all documents are proofread for accuracy
* Utilize computer skills to prepare reports, correspondence, and presentations using Microsoft Office and Quick Books
* Coordinate calendar management and scheduling for executives or team members
* Handle clerical tasks such as photocopying, faxing, mailing, and maintaining office inventory
* Support bookkeeping activities using QuickBooks or similar accounting software when necessary
* Provide exceptional customer service by supporting clients and visitors with courteous assistance and support
**Experience**
* Proven office management experience with a strong background in administrative support roles
* Demonstrated proficiency in computer literacy including Microsoft Office Suite (Word, Excel, PowerPoint), Google Workspace, and data entry skills
* Experience working with multi\-line phone systems and phone etiquette standards.
* Familiarity with clerical tasks such as filing, proofreading, calendar management, and record keeping
* Previous experience in customer service or customer support roles that require excellent interpersonal skills
* Knowledge of bookkeeping software such as QuickBooks or similar programs is advantageous
* Strong organizational skills with the ability to prioritize tasks efficiently while managing multiple responsibilities simultaneously
