Job Description
**Position Summary**
The General Office Administrator \& Service Concierge will greet each family that enters the front lobby. This position is generally the first contact for Park Lawn Cemetery and interacts directly with client families during their time of need, before need, or to get general information, such as interment locations. The General Office Administrator is also responsible for creating and maintaining a premier level of client family satisfaction.
**Areas of Responsibility:**
* Service Arrangements: Ensure that daily services have been checked, processed, and proper information has been submitted to Park Operations in a timely manner.
* Before\-Need Transmittals/Inventory Control: Responsible for the processing of all Before\-Need transmittals and ensuring that inventory control of available/non\-available property has been properly maintained throughout the Plot Box computer system and maps.
* Filing: Contracts, Interment Jackets, Memorial Orders, and Complaint \& Special Request Forms
* Scanning \& Data Entry: Data entry of all contracts, interments, deeds, memorial orders, and reservations.
* Ability to work Weekends and Holidays as necessary.
* When required Assist Services on the ground in lieu of Memorial Counselor.
* Confirming services with funeral homes and sending service reports
* Daily deposit reports
* Memorial ordering (Rubbings, Layouts, Approvals)
* Processing Contracts (FSC and CSC contracts)
* Confirming Services in Plot Box.
* Creating Interment Jackets once burial has been completed.
* Deeding: (When qualified and trained will be responsible for Deeding Interment Rights). Back up for Cemetery Deed Processor. Ensure deeds are generated, verify accuracy, and maintained properly. Deeds are processed through Plot Box computer system’s deeding.
* Greets each family that enters the lobby professionally and respectfully.
* Answer telephone and email inquiries from families promptly, skilled, and politely.
* Ability to qualify client family inquiries to determine if a family is At\-Need, Pre\-Need, Illness or has another need.
* Manage concern(s) from client families and visitors with respect and professionalism. When necessary, escalate the situation to the Office Manager or the Vice President of Cemetery Operations.
* Contacts customer service via phone for customer assistance
* Serve as the liaison between the client families, support staff, and Family Service Counselor.
* Remain current with all technology the company provides to enhance job efficiency.
* Ability to obtain a Notary Certification.
* Assist with Notarial Acts when necessary – Jurats and acknowledgments (PLC will pay for the notary commission application, exam, and notary supplies).
* Uphold a professional business attire and conservative image to represent the PLC.

**Key Competencies:**
* Demonstrate a caring and professional demeanor and be sensitive when assisting families at a difficult time.
* Excellent written and oral communication skills.
* Strong Customer Service experience.
* Bi\-Lingual in Spanish a plus.
* The dress code must be business attire.
* Ability to lift 10\-20lbs.
* Must be flexible, able to work multiple weekends and holidays.
* Ability to obtain Notary Commission with the State of California.
**Education and Experience:**
* High School Graduate
* At least two (2\) years' experience in customer service
**Physical Requirements:**
While performing the duties of this job, the employee is regularly required to stand, sit, walk, bend, reach with hands and arms, use hand\-to\-finger motion, handle, feel objects, tools, or controls. The employee must operate the telephone for several hours efficiently and professionally.
